Cancelling and Rescheduling Bookings

Sometimes plans change. Calimatic Scheduler makes it easy for both hosts and attendees to cancel or reschedule.

As a Host

Cancelling:
1. Go to Bookings in the sidebar.
2. Find the booking and click the cancel button (X icon).
3. Optionally provide a cancellation reason.
4. The attendee receives an email notification.

Rescheduling:
1. Click the reschedule button on the booking.
2. Choose a new date and time.
3. The attendee is notified of the change and can accept or suggest another time.

As an Attendee

Attendees can cancel or reschedule from the links in their confirmation email, provided the event type allows it.

Event type settings control:
- Allow Reschedule — Toggle whether attendees can reschedule.
- Allow Cancel — Toggle whether attendees can cancel.
- Reschedule Min Notice — How far in advance attendees must reschedule (e.g., 1 hour before).
- Cancel Min Notice — How far in advance attendees must cancel.

Cancellation Policies

Set minimum notice periods on each event type to prevent last-minute changes:

  • 1 hour — Good for quick, informal meetings.
  • 24 hours — Standard for professional consultations.
  • 48+ hours — For events that require significant preparation.

What Happens After Cancellation

  • The time slot becomes available again for new bookings.
  • Any associated meeting link (Zoom, Google Meet, etc.) is invalidated.
  • Workflow actions (like reminders) for the cancelled booking are stopped.
  • A cancellation record is kept for analytics.

Tips

  • Always include a reason when cancelling — it shows professionalism.
  • Set appropriate minimum notice periods based on your event type.
  • Use workflows to send follow-up emails suggesting a rebook after cancellation.
