Booking Confirmation Workflows

Set up manual confirmation for bookings and automate follow-up communications.

Booking Confirmation Workflows

By default, bookings are automatically confirmed. For situations where you need to review bookings before they're finalized, you can enable manual confirmation.

Enabling Manual Confirmation

  1. Go to your event type settings.
  2. Toggle on Requires Confirmation.
  3. Save the event type.

Now, new bookings for this event type will have a "Pending" status until you explicitly confirm them.

Confirming Bookings

When a new booking arrives:

  1. You'll see it on your Dashboard under "Pending Confirmation" with a yellow highlight.
  2. You'll also receive an email notification.
  3. Click the booking and choose Confirm or Decline.
  4. The attendee receives a confirmation or decline email.

When to Use Manual Confirmation

  • High-value consultations — Screen attendees before committing your time.
  • Limited availability — When you need to be selective about who you meet.
  • Custom requirements — Review custom question responses before confirming.
  • Paid events — Verify payment before confirming the meeting.

Automating Follow-ups with Workflows

Combine confirmation with Workflows (under the Workflows page) to automate actions:

  • On Booking Created — Send a "We received your request" email.
  • On Booking Confirmed — Send a prep document or onboarding link.
  • Before Event — Send a reminder 24 hours before.
  • After Event — Send a follow-up survey.

Tips

  • Respond to pending bookings within 24 hours to maintain a good experience.
  • If you rarely decline, consider auto-confirm with workflows instead — it's a smoother attendee experience.
  • Use custom questions to get the information you need to make a quick confirm/decline decision.
