Round Robin Scheduling

Round robin scheduling automatically distributes incoming bookings across your team members. It ensures an even workload and prevents any single person from being overwhelmed.

How It Works

When an attendee books a round robin event type, the system selects the next available host based on the configured algorithm:

  1. Availability — Only team members who are available at the requested time are considered.
  2. Weight — Each member has a weight (0–100%) that determines their share of bookings.
  3. Last Assigned — The member who was assigned a booking least recently gets priority.

Setting Up

  1. Go to Event Types > New Event Type.
  2. Select Round Robin as the category.
  3. Set the event details (title, duration, location).
  4. Assign team members who should participate in the rotation.
  5. Optionally adjust weights for each member.

Configuration Options

  • Round Robin Weight — Set to 100% for equal distribution. Lower to 50% if someone should take half as many bookings.
  • Availability for Round Robin — Team members can opt out temporarily without being removed from the team.
  • Calendar Integration — Each member's connected calendar is checked for conflicts.

Requirements

  • Round robin requires a Pro or Enterprise plan.
  • You need an organization with at least two team members.
  • Team members should have their availability schedules set up.
  • Calendar integrations are recommended for conflict checking.

Tips

  • Start with equal weights and adjust based on capacity.
  • Encourage all team members to keep their calendars up to date.
  • Use the Analytics dashboard to monitor distribution fairness.
