Team Scheduling Types
Learn about round robin, collective, and managed scheduling for teams.
Team Scheduling Types
Calimatic offers three team scheduling modes, each designed for different use cases.
Round Robin
How it works: Incoming bookings are automatically distributed among available team members based on weights and last-assigned time.
Best for: Sales teams, support teams, any situation where work should be evenly distributed.
Setup:
1. Create a team event type with "Round Robin" scheduling.
2. Assign team members as hosts.
3. Set weights (100% = equal share, 50% = half as many bookings).
Collective
How it works: All assigned hosts must be available for a slot to appear. One booking is created and all hosts are invited.
Best for: Panel interviews, multi-stakeholder meetings, collaborative sessions.
Setup:
1. Create a team event type with "Collective" scheduling.
2. Assign all required hosts.
3. Ensure all hosts have their calendars connected.
Managed
How it works: An admin manually assigns bookings to specific team members. The attendee books a time, and the admin decides who handles it.
Best for: Situations requiring human judgment in assignment, specialized skill matching.
Setup:
1. Create a team event type with "Managed" scheduling.
2. Assign potential hosts.
3. When a booking comes in, assign it from the dashboard.
Choosing the Right Type
| Need | Type |
|---|---|
| Even distribution, no preference | Round Robin |
| Everyone must attend | Collective |
| Manual control over assignment | Managed |
| Sales lead distribution | Round Robin |
| Panel interview scheduling | Collective |
Tips
- Start with Round Robin for most team scheduling needs.
- Use Collective only when attendance of all hosts is truly required.
- Managed scheduling adds manual work — use it only when automated assignment isn't sufficient.
